Creating Consent Tokens

Allow your visitor to opt-in to storing their data, marketing follow-up and more

Configure Consent Tokens (opt-in questions) to appear as a pop-up dialogue at the end of your event forms. Remember, you will need to ensure GDPR is enabled in the Account Settings before creating Tokens.

1. From within the Manage tab in Zuant Cloud, select ‘CONSENT’ from the menu bar at the top. Click ‘GET STARTED’ to begin.

2. A dialogue box will appear on screen for you to create your first Token. Note that 'Store PII' is selected by default. Remember, when creating Consent Tokens, you MUST have a Store PII token Active.

3. Complete the following fields within the pop-up window:

  • Name: The Consent Token name is the field name which appears in the Lead Grid data. This isn’t visible to your visitor, so this can be anything to help you remember what the Token is for

  • Heading: The heading of the Consent Token as it appears to the visitor in the app. Make sure that this is clear and concise, so that the visitor knows exactly what they are opting in to

  • Text: A descriptor of the Consent Token that will appear below the heading in the app. This should provide the visitor with more information about what they will be opting in to if they choose to agree to the Consent Token

4. Make sure that the correct type of Consent Token is assigned using the 4 buttons. The button in yellow is the type currently assigned

5. Make sure that the Token is active using the toggle, then click ‘SAVE’. To create further Tokens, click the yellow ‘+’ button at the bottom right of the Consent Screen

Please note: Once a Consent Token is issued you can't makes edits to it. This is because a device may have synced the Token in the time you decided you needed to make an edit. In this scenario simply make the token inactive and create a new one.

Types of Consent Tokens

The type of Consent Token is important as it can trigger a specific action within Zuant. The type of Consent Token is also stamped against the lead in the Lead Grid when a visitor opts in, so you can easily identify how you are able to follow-up with each individual.

  • Store PII: Allows the visitor to consent to you storing their data on your systems. You must have a Store PII token active when using the Consent Token feature. If a visitor does not consent to your Store PII token in the Zuant App, then you will be prompted to discard the lead

  • Send Email: This token acts as the Thank You Email trigger in your event form in place of the usual ‘Send Thank You Email?’ question. If the visitor does not consent to your Send Email token in the Zuant App, then the Thank You Email will not be sent

  • Pass to 3rd Party: This token has no specific action in the Zuant App. When a visitor consents to a Pass to 3rd Party token, they are confirming that you can share their information with another party according to the specifications in your Consent Token

  • Unassigned: For any additional Consent Tokens that you require that do not fit under the above. For example consent to follow up by telephone.

How the Consent Tokens work in the Zuant App

All devices will need to resync to see the new Consent Tokens. Upon tapping the ‘Submit’ button in the Zuant app, a pop-up box displaying all of the Consent Tokens will appear. The visitor then has the option to ‘Agree’ or ‘Disagree’ to each of your Tokens.

Only the Store PII Consent Token is mandatory. Here, ‘Agree’ will need to be selected, otherwise you will be forced to discard the lead.
